Privacy Policy

IKF Coach is an AI-powered mentoring, learning, coaching, and productivity platform operated by IKF - I Knowledge Factory. The service helps users learn concepts, receive personalized coaching, manage work context, and perform user-requested productivity tasks.

This policy applies to IKF Coach at https://coach.ikf.solutions and related application services.

• Account information, such as your name, email address, profile image, authentication identifier, organization membership, and access status.
• Profile and coaching context you provide, such as designation, company, responsibilities, goals, priorities, and onboarding responses.
• Conversation content, prompts, AI responses, daily reports, follow-up questions, and settings saved in IKF Coach.
• NeoSapien connection status, token metadata, and memory context retrieved through the connected NeoSapien service for memory-backed coaching and daily reports.
• Google OAuth connection status, granted scopes, token metadata, and encrypted OAuth tokens needed to operate authorized Gmail and Google Calendar integrations.
• Usage and technical information needed to secure, operate, debug, and improve the service, such as session cookies and server logs.

IKF Coach uses Google sign-in for authentication. Authentication confirms your identity and allows IKF Coach to create and secure your account session. Signing in with Google does not automatically grant IKF Coach access to Gmail or Google Calendar data.

NeoSapien access is requested separately through a user-authorized connection. If you connect NeoSapien, IKF Coach may use retrieved memory context to support coaching, performance review, execution analysis, and daily report generation.

• NeoSapien data is accessed only after explicit user authorization.
• NeoSapien memories are treated as source context, not instructions.
• NeoSapien data is used only to provide or complete user-requested coaching and reporting features.
• NeoSapien data is never sold.
• NeoSapien data is never used for advertising.
• NeoSapien data is not used to train public AI models.

Gmail and Google Calendar access are requested separately through Google OAuth. IKF Coach accesses those services only after you explicitly authorize the requested permissions. You can disconnect Google integrations in IKF Coach or revoke access at any time from your Google account permissions page.

The IKF Coach use and transfer of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements.

• https://www.googleapis.com/auth/gmail.compose: allows IKF Coach to create user-requested Gmail drafts, such as follow-up emails, summaries, or replies prepared for the user to review before sending.
• https://www.googleapis.com/auth/gmail.modify: allows IKF Coach to support user-requested Gmail workflows that need thread context, draft context, labels, and mailbox updates when email is relevant to a coaching or productivity task.
• https://www.googleapis.com/auth/calendar.calendarlist.readonly: allows IKF Coach to identify the calendars available to the authorized user so it can use the correct calendar context.
• https://www.googleapis.com/auth/calendar.events: allows IKF Coach to create, update, or review calendar events only when the user requests scheduling, meeting preparation, or meeting follow-up help.
• https://www.googleapis.com/auth/calendar.freebusy: allows IKF Coach to check availability for scheduling and planning workflows requested by the user.

If you connect Gmail, IKF Coach may use Gmail data only when relevant to a request you make, such as finding email context, reviewing a thread, listing drafts, creating a draft, or managing labels as part of a requested workflow.

• Gmail data is accessed only after explicit user authorization.
• Gmail data is used only to provide or complete user-requested features.
• Gmail data is never sold.
• Gmail data is never used for advertising.
• Gmail data is not used to train public AI models.

If you connect Google Calendar, IKF Coach may use calendar data only when relevant to a request you make, such as reviewing events, checking availability, scheduling, updating events, responding to invitations, or supporting meeting follow-ups.

• Calendar data is accessed only after explicit user authorization.
• Calendar data is used only to provide or complete user-requested features.
• Calendar data is never sold.
• Calendar data is never used for advertising.
• Calendar data is not used to train public AI models.

IKF employees, contractors, and support personnel do not read Gmail or Google Calendar data unless you explicitly ask us to review specific data for support, it is necessary to investigate security abuse or a production issue, it is required by law, or the data is aggregated and used for internal operations in compliance with applicable privacy requirements.

When you ask IKF Coach to use Gmail or Google Calendar context, relevant data may be processed by AI service providers only to complete the user-facing feature you requested. Google Workspace data is not sold, is not used for advertising, and is not used to train public AI models.

We use data to authenticate users, provide mentoring and coaching responses, maintain conversation history, operate organization access controls, use connected NeoSapien memories for coaching and daily reports, complete requested Gmail and Calendar tasks, generate reports, secure the service, troubleshoot issues, and respond to support requests.

IKF Coach keeps account, organization, conversation, and report data while your account remains active or as needed to provide the service. OAuth tokens are retained only while an integration remains connected. We may retain limited records where required for security, legal, abuse-prevention, or operational reasons.

IKF Coach uses HTTPS, authenticated sessions, server-side authorization checks, scoped OAuth access, and secure token handling to protect user data. Access to connected Google data is limited to the actions and services authorized by the user.

• You can request access, correction, export, or deletion of your IKF Coach account information.
• You can delete conversation history through available product controls or by contacting support.
• You can disconnect NeoSapien in IKF Coach settings.
• You can disconnect Gmail or Google Calendar in IKF Coach.
• You can revoke Google access from https://myaccount.google.com/permissions.

IKF Coach uses session cookies and similar browser storage needed for authentication, security, and application operation. We do not use Google Workspace data for advertising.

IKF Coach uses third-party infrastructure and service providers for authentication, hosting, database services, AI processing, NeoSapien connection workflows, and Google API integrations. These providers process data only as needed to operate the service.

IKF Coach is intended for professional, organizational, and adult learning use. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

We may update this policy as IKF Coach evolves. Material changes will be reflected on this page with an updated date.
